This Terms & Conditions Policy (“Agreement”) governs the relationship between Whitesandtrip Pvt. Ltd. (“Whitesandtrip”, “we”, “us”, or “our”) and the client/customer (“you”, “your”, or “traveler”) for all tour packages, travel services, and bookings offered by Whitesandtrip.
By confirming a booking with Whitesandtrip, you acknowledge that you have read, understood, and agreed to be bound by these Terms & Conditions.
1. Communication & Correspondence
All communication relating to tour inquiries, bookings, amendments, cancellations, or special requests must be made directly with Whitesandtrip. Only written communications (email, official messaging channels, or documented instructions) shall be considered valid and binding.
2. Booking & Contract
A legally binding contract between the client and Whitesandtrip comes into effect once the booking is confirmed and the required advance or full payment is received. Whitesandtrip reserves the right to decline or cancel any booking at its discretion prior to confirmation.
3. Payment Terms
3.1 A minimum advance payment of 25% of the total tour cost is required to confirm a booking.
3.2 The remaining balance must be paid no later than 15 days prior to the commencement of travel services.
3.3 For bookings made within 15 days of the travel start date, full payment is required at the time of booking.
3.4 Peak Season & Special Services
For travel during peak seasons, festivals, fairs, long weekends, or special services such as premium train journeys and high-demand hotels/resorts (including but not limited to Christmas, New Year, Diwali, Pushkar Fair), 100% payment is mandatory at the time of booking.
4. Mode of Payment
Payments may be made using the following methods:
- Credit Cards (Visa, MasterCard, American Express, Diners Club, Discover)
- Debit Cards (Visa, MasterCard, Maestro)
- Bank Transfers (RTGS / NEFT)
- Cash, Cheque, or Demand Draft
4.1 Transaction Charges
A 3% processing fee applies to all credit and debit card payments. All payments must be made without deductions or withholding taxes. Any bank or remittance charges shall be borne solely by the client.
5. Payment Instructions
All payments must be made in favor of Whitesandtrip Pvt. Ltd. Whitesandtrip shall not be responsible for payments made to unauthorized third parties.
6. Cancellation Policy
All cancellation requests must be submitted in writing. Cancellation charges will be applicable from the date the written cancellation request is received by Whitesandtrip.

6.1 Additional Conditions
- A minimum 10% service fee applies once a booking is confirmed.
- Special train journeys and peak-season bookings may have separate cancellation terms.
- No refunds shall be granted for cancellations during peak periods, festivals, or long holiday weekends.
7. Refund Policy
Refunds for unused or unutilized services, if applicable, will be processed strictly in accordance with the cancellation policy.
- Refund processing time is approximately 2 to 4 weeks, subject to banking procedures.
- Applicable bank or transaction charges will be deducted from the refund amount.
8. Hotel Check-In & Check-Out
- Standard Check-In Time: 12:00 PM – 3:00 PM
- Standard Check-Out Time: 10:00 AM – 12:00 PM
Early check-in or late check-out is subject to availability and may incur additional charges. Guaranteed early check-in requires booking accommodation from the previous night.
9. Vehicle Usage
The use of vehicles is limited to the itinerary, duration, and route specified in the confirmed booking. Any additional usage, deviations, or overtime will be charged separately and must be settled directly.
10. Liability & Limitations
Whitesandtrip acts solely as an intermediary for hotels, airlines, transport providers, and other third-party service suppliers. We do not own, control, or operate these services and are not responsible for any changes, delays, deficiencies, or cancellations imposed by such providers.
Whitesandtrip shall not be liable for any loss, damage, delay, injury, expense, or inconvenience caused by events beyond our control, including but not limited to natural disasters, adverse weather conditions, road closures, political disturbances, strikes, accidents, flight cancellations, or mechanical failures.
11. Insurance & Personal Belongings
Travel insurance is not included in any tour package unless explicitly stated. Clients are strongly advised to obtain comprehensive travel insurance covering medical emergencies, accidents, loss, theft, or trip cancellations. Whitesandtrip shall not be responsible for any loss or damage to personal belongings during the tour.
12. Right to Refuse or Cancel Services
Whitesandtrip reserves the right to refuse service or cancel bookings for any individual deemed unsuitable, without assigning any reason. In such cases, refunds, if any, shall be limited to the recoverable value of services.
13. Arbitration & Jurisdiction
Any dispute arising out of or in connection with this Agreement shall be referred to a sole arbitrator appointed by Whitesandtrip Pvt. Ltd.
The Agreement shall be governed by and construed in accordance with the laws of India, and all disputes shall be subject exclusively to the jurisdiction of courts in Delhi, India.
14. Acceptance of Terms
By confirming a booking with Whitesandtrip, the client acknowledges acceptance of these Terms & Conditions in full.
